Room Rate Comp Reasons

The Room Rate Comp Reasons report allows users to view all reservations (except canceled) that are scheduled to run with a zero rate within the selected date range. There are two types of reservations that run with zero rates:

  • Comped reservations typically run with a room rate that is being waived for some reason.

  • No-rate reservations are typically used for reservations where no anticipated room revenue would be realized.

As a property manager, user can determine the projected lost revenue based on each rate plan.

Perform the following steps to generate the report:

Navigate to Reports à All Reports à Room Rate Comp Reasons (under Accounting).

Select the Date Range field from the calendar to generate dates for the report.

The maximum days allowed in the date range is 31.

Select which reservation Comp Types field to include in the report:

Description

Select all

Includes comp and no-rate reservations that occur at least one of the nights within the selected date range.

Comp only

Includes reservations that have a comp rate on at least one of the nights within the selected date range.

No rate only

Includes reservations that have no rate on at least one of the nights within the selected date range.

Click Generate. The report with the selected data appears.

Click Print to send a copy of the report to the printer.

Report Parameters

This report displays the following parameters:

Field

Description

Arrival Date

The arrival date of each reservation.

Departure Date

The departure date of each reservation.

Room Number

The room number that the guest is staying in, if assigned.

Nights

The number of nights booked for the reservation.

Guest Name

The name of the main guest listed on each reservation.

Confirmation #

The confirmation number on the reservation.

Group

The name used to book the group reservation.

Rate Plan

The rate plan associated with each reservation. If multiple rate plans are associated with the reservation, the rate plan currently in effect appears on the report.

Reservation Status

The status of each reservation:

  • RES - Reserved

  • DPT - Departed

  • INH - In-House

  • NOS - No Show

  • PND - Pending

  • RLS - Released

  • TEMP - Temporary Hold

  • LOST - Lost Business

  • WALK - Guest Walked

  • WAIT - Wait List

  • OUT - Out of Room

  • DENY - Denied

  • WSHR - Web Share Request

  • WEB - Reservation started via Web controls

Comp Category

Identifies whether the reservation is a Comp or No Rate Reservation.

Comp Reason

The reason the comp was issued.

Comp Dates

Identifies the nights that the comp or no-rate reservation are valid.

Comment

The comment entered when the guest service agent changed the rate to zero.
